Terms of Service for GentleTasks
Beta version — under legal review. GentleTasks is in a small private beta. This document is a working draft that hasn’t been reviewed by a lawyer yet; when it changes in a way that matters, the app asks you to agree again.
Effective date: October 2, 2026 (beta version 2026-10-beta1)
These Terms of Service ("Terms") govern your use of GentleTasks ("the App" — the Android app, the web app at app.gentletasks.com and the desktop app), made by Ahem Studios ("we," "us," "our"), based in Alberta, Canada. You agree to these Terms by ticking "I agree" in the App (you are asked right after signing up, and again whenever they change in a way that matters) or by using the App. If you do not agree, do not use the App.
0. Private Beta — Please Read
GentleTasks is in a small, invitation-only beta. That means:
- Things will change and sometimes break. Features may be added, changed or removed without notice, and there may be bugs.
- Data could be lost. We work to prevent it and keep backups where our hosting plan allows, but during the beta we cannot promise it. Keep your own copy of anything important — use the PDF reports or Settings → Me → My Data → Download all data.
- Access is by approval. Creating a new family needs our approval during the beta; we may limit how many families take part.
- The beta can end. We may end the beta, or anyone's access to it, at any time. If we end it for everyone, we will tell you in the App at least 30 days ahead where we can, so you can download your data.
- It is free during the beta. If we ever charge families, we will tell you first and you will not be charged without agreeing.
- Your feedback helps. Report problems with Report a problem in the App or at support@gentletasks.com.
1. Not a Medical Device — Read This First
GentleTasks is an organizational and record-keeping tool. It is not a medical device, does not provide medical advice, and is not a substitute for professional medical care.
- The App does not diagnose, treat, cure, or prevent any condition.
- SNAP-IV assessment scores computed by the App are informational summaries of parent-entered responses — they are not a diagnosis.
- Medication features are a record of what you enter, not a dosing system. The App does not verify doses, check drug interactions, or remind you to administer medication. Always follow the instructions of your prescribing physician and pharmacist.
- Do not use the App for emergencies. If you believe your child is experiencing a medical emergency, call your local emergency number.
- Clinicians who review data through the App do so under their own professional judgment and responsibility. We make no representation that data in the App is complete or accurate enough for any clinical decision.
- Patterns the App shows (for example in Trends) are summaries of what was logged — "a pattern, not proof" — and must not be used on their own to start, stop or change any treatment or medication.
2. Accounts, Families & Roles
- You must be an adult with legal authority over the relevant child (parent or legal guardian) to create a family, add child profiles, or enter information about a child.
- You are responsible for the accuracy of the information you enter and for maintaining the confidentiality of your sign-in credentials and parent PIN.
- Family admins control who joins their family and which clinicians can see which child's data. Granting access to a clinician or co-parent is your decision and your responsibility.
- Accounts for children are restricted-access accounts provided for task completion only, and must be set up and supervised by a parent.
3. License Grant
We grant you a limited, non-exclusive, non-transferable, revocable license to download, install, and use the App on personal devices for personal, non-commercial family and clinical-coordination purposes, subject to these Terms.
You may not:
- copy, modify, distribute, sell, or lease any part of the App,
- reverse-engineer, decompile, or disassemble the App except to the extent permitted by applicable law,
- access or attempt to access another family's or another child's data, or circumvent any technical or security measure, or
- use the App to provide commercial services without our prior written consent (clinic subscription offerings, where available, are governed by a separate agreement).
4. User Content & Conduct
You retain ownership of the information you enter into the App (profiles, logs, notes, assessments). You grant us a limited license to store and process that information solely to operate the App as described in our Privacy Policy.
You agree not to:
- enter information about a child you do not have legal authority over,
- use the App to harass, defame, or harm any person,
- upload malicious content or interfere with the App's servers or services, or
- exploit bugs or vulnerabilities — please report them to support@gentletasks.com (or with Report a problem in the App) instead.
Feedback. If you send us ideas, suggestions or problem reports (for example with Report a problem in the App), we may use them to improve the App without any obligation to you. Please don't include your child's full name or medical details in them.
5. Clinician Use
The clinician side of the App is still being developed and is offered during the beta only by invitation. Clinicians granted access by a parent agree to use that access only for the care of the assigned child, to maintain the confidentiality of the data consistent with their professional and legal obligations, and to stop accessing the data when the parent revokes access or the care relationship ends. The App is not represented as a system of record for medical purposes; clinicians should maintain their own records in accordance with their professional requirements.
5a. Teacher Use
Teachers join at a family's invitation and see only what that family chooses to share about their student. They agree to use it only to support that student at school, to keep it confidential in line with their school's own policies and legal obligations (for example, student-privacy laws that apply where they teach), and to stop using it when the family ends their access. The family controls sharing and can end a teacher's access at any time. Teachers may also rate the school day, exchange notes with the family, log incidents at school and send the student stars (bonus points); they agree to keep these factual, respectful and about the student's day at school, and not to use the notes for urgent matters (safety, health emergencies or anything needing a same-day response) — use the school's usual channels for those. An incident logged in the App is not a substitute for the school's own incident reporting. Notes, ratings, incidents and stars stay with the family, who can export or erase them. GentleTasks is not a school record system.
6. Online Services & Availability
The App relies on third-party cloud infrastructure (Supabase, with family data stored in Canada) and needs a network connection to sync. We do not guarantee uninterrupted availability and may modify, suspend, or discontinue features with reasonable notice where practicable. We are not liable for loss of data resulting from events outside our reasonable control; we encourage you to export important records periodically using the App's PDF export or Settings → Me → My Data → Download all data.
7. Intellectual Property
All content in the App — including its design, code, themes, artwork, and the "GentleTasks" and "Ahem Studios" names and logos — is owned by Ahem Studios or its licensors and protected by applicable intellectual property laws. These Terms grant you no rights in them except the license in Section 3.
8. Privacy
Your use of the App is also governed by our Privacy Policy, which describes what information is stored, who can see it, and how to delete it. By using the App, you acknowledge that you have read and understood the Privacy Policy.
9. Disclaimer of Warranties
THE APP IS PROVIDED "AS IS" AND "AS AVAILABLE," WITHOUT WARRANTIES OF ANY KIND, EXPRESS OR IMPLIED, INCLUDING WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, ACCURACY, AND NON-INFRINGEMENT. WITHOUT LIMITING SECTION 1, WE DO NOT WARRANT THAT DATA IN THE APP IS SUITABLE FOR ANY MEDICAL OR CLINICAL PURPOSE.
10. Limitation of Liability
TO THE MAXIMUM EXTENT PERMITTED BY LAW, AHEM STUDIOS SHALL NOT BE LIABLE FOR ANY INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, OR EXEMPLARY DAMAGES — INCLUDING LOSS OF DATA, OR ANY HARM ARISING FROM RELIANCE ON INFORMATION STORED IN OR DISPLAYED BY THE APP — ARISING FROM YOUR USE OF THE APP. WHERE LIABILITY CANNOT BE EXCLUDED, OUR TOTAL LIABILITY IS LIMITED TO THE AMOUNT YOU PAID US FOR THE APP IN THE TWELVE MONTHS PRECEDING THE CLAIM (WHICH, FOR FAMILIES, IS ZERO). SOME JURISDICTIONS DO NOT ALLOW CERTAIN EXCLUSIONS, SO SOME OF THE ABOVE MAY NOT APPLY TO YOU.
11. Termination
You may stop using the App and delete your account at any time from Settings → Me → My Data (see the Privacy Policy). We may suspend or terminate access for violation of these Terms, particularly Sections 2–5. On termination, your right to use the App ceases; data deletion is handled as described in the Privacy Policy.
12. Changes to These Terms
We may update these Terms as the App evolves. When a change matters, the App tells you and asks you to agree again before you carry on; you can instead download your data and delete your account. The version and date you agreed to are recorded with your account. The current Terms are always at gentletasks.com/terms.
13. Governing Law
These Terms are governed by the laws of the Province of Alberta and the federal laws of Canada that apply there, without regard to conflict-of-law principles. Any dispute will be heard by the courts of Alberta, unless the law where you live gives you the right to bring it there.
